Introduction

Do you have a CBM program already implemented? It is a good practice to evaluate and Audit your program after it has got a good footing. If you have run your CBM program for years, the chance of being able to improve it is probably there. improving your CBM program will generate an direct impact on your assets and production. It is important with a seamless integration of CBM reporting with CMMS, work orders, and planned maintenance tasks, organizations can ensure that the right information reaches the right person at the right time, facilitating informed decision-making and proactive maintenance strategies.

Establish Audit Objectives

  • Clearly define the objectives of the CBM program audit, focusing on its effectiveness in detecting and predicting equipment health, minimizing downtime, and optimizing maintenance strategies.

Review CBM Policies and Procedures

  • Assess the clarity, relevance, and accessibility of CBM policies and procedures.

  • Ensure that procedures align with industry best practices, reporting based on asset criticality and known failure modes and patterns.

Assess Data Collection and Analysis

  • Evaluate the effectiveness of data collection methods and tools.

  • Review the analysis algorithms and techniques used to interpret data and identify potential faults or anomalies.

  • Review if there is areas of the plant/installation that can be simplified, adding new technology, automated, adding ML or AI functions or removed.

  • Verify that there is data quality in all data. If not, what would be needed to improve it. 

Verify Monitoring Frequency

  • Assess the monitoring frequency for different parameters, ensuring it aligns with equipment criticality, operating conditions, and manufacturer guidelines.

  • Consider seasonal variations and changes in equipment usage patterns.

Check Alarm Thresholds

·     Review and validate alarm thresholds set for each monitored parameter.

·     Ensure that alarm levels are adjusted based on the criticality of equipment and the severity of potential issues.

Assess Integration with CMMS

  • Verify the integration of CBM data with the Computerized Maintenance Management System (CMMS) for seamless maintenance planning and execution.

  • Assess how CBM data is integrated into CMMS, including the automation of work orders and planned maintenance tasks.

  • Confirm that work orders generated from CBM findings are tracked and closed appropriately.

  • Verify the seamless integration of CBM data into the creation and execution of work orders within the CMMS.

  • Assess how CBM findings are prioritized and incorporated into the overall maintenance schedule.

  • Assess how CBM data integrates with predictive and proactive maintenance strategies within the CMMS. 

  • Confirm that there is good procedures in place to document and classify "as found",  repairs, overhauls, before and after data and root cause analysis reports 

Review CBM Reporting and Integration

  • Evaluate the reporting capabilities of the CBM system, ensuring that reports are clear, comprehensive, and easily accessible.

  • Ensure that CBM reports and data are transparent, providing a clear understanding of the health and condition of monitored assets.

  • Consider the use of visualizations and dashboards for easy interpretation.

Verify Information Accessibility

  • Assess the accessibility of CBM information to relevant personnel.

  • Confirm that key stakeholders have easy access to real-time data through user-friendly interfaces.

Evaluate Mobile Accessibility

  • Evaluate the granularity of user permissions and roles within the CBM system.

  • Confirm that personnel have appropriate access levels based on their roles and responsibilities.

Assess Historical Data Retention

  • Verify that historical CBM data is retained for trend analysis and long-term decision-making.

  • Ensure that the storage capacity is sufficient for retaining relevant data over extended periods.

Check for Automated Notifications

  • Assess the system's capability to send automated notifications to relevant personnel based on CBM alerts.

  • Ensure that notifications are timely and include actionable information.

Review Change Management Procedures

  • Evaluate change management procedures for CBM reporting and integration.

  • Confirm that changes are documented, communicated, and do not disrupt the flow of information.

Assess User Training for Reporting Tools

  • Evaluate the adequacy of user training for reporting tools within the CBM system.

  • Confirm that personnel are proficient in utilizing reporting features for informed decision-making.

Verify Data Security Measures

  • Assess the security measures in place to protect CBM data during reporting and integration.

  • Ensure compliance with data privacy regulations and industry standards.

Conduct Stakeholder Interviews

  • Interview key stakeholders, including maintenance personnel, reliability engineers, and system administrators, to gather feedback on the CBM reporting and integration processes.

  • Address any concerns or suggestions for improvement raised during interviews.

Document the CBM Audit

  • Compile a comprehensive report documenting the findings of the CBM program audit, with a specific focus on reporting and integration.

  • Include recommendations for improvements and a plan of action for addressing identified issues.
